These Terms & Conditions apply to all bookings and participation in the tours offered by Tromsolove AS (referred to as "we", "us", or "our"). By booking or participating in our tours, you (the "Customer") agree to these Terms & Conditions.
1. Booking and Payment
1.1 Booking Process:
Customers are responsible for filling out the booking form with accurate and complete information. By making a booking with Tromsolove, you agree to these Terms and Conditions. A booking is only confirmed once full payment has been received by Tromsolove.
1.2 Confirmation:
Upon receiving your completed booking form and full payment, Tromsolove will confirm your booking via email within 24 hours. The confirmation email will include all relevant details regarding your trip, including activities and other services.
1.3 Special Promotions:
Certain promotional offers may have specific terms and conditions. Customers are required to review these terms when booking. By completing the booking, you agree to be bound by both the standard terms and any applicable promotion-specific terms.
1.4 Age Requirements:
By making a booking, you confirm that you and all other travelers included in the booking meet the appropriate age requirements. In cases where age restrictions apply (e.g., for certain activities), it is the customer’s responsibility to ensure compliance.
2. Payment Methods
2.1 Payment Types:
Tromsolove accepts payments via major credit cards (Visa, MasterCard) and bank transfers. All payments must made in the currency specified at the time of booking unless otherwise agreed upon.
2.2 Full Payment:
Full payment is required at the time of the booking unless otherwise specified. If the full payment is not received within the specified time frame, Tromsolove reserves the right to cancel the booking without further notice.
3.Refund Policy
3.1 Refunds:
Refunds will only processed based on the cancellation policy outlined in Section 4. Refunds, if applicable, will be made using the same payment method used for the booking. Tromsolove requires a minimum of 7 working days to process any refunds once the cancellation has been verified.
3:2 Force Majeure Refunds:
No refunds will be provided for cancellations due to force majeure events, which include but are not limited to natural disasters, war, strikes, pandemics or other circumstances beyond Tromsolove´s control.
4. Cancellation Policy
4.1 Individual Bookings
Cancellations made more than 7 days before the scheduled activity will receive a full refund. Cancellations made 7 days or less before the activity or noshows will not be refunded.
4.2 Group Bookings (10 people or more)
Cancellations made more than 30 days before the activity will not incur any cancellation fees. Cancellations made 30 to 14 days before the activity will incur a 50% cancellation fee. Cancellations made 13 days or less before the activity, or noshows, will not be refunded.
4.3 Group Size Adjustments
Final group size can be adjusted by up to 3 persons, 14 days before the date of the tour, without charge. Any adjustments made after the 14day deadline will incur 100% cancellation fees for the adjusted amount of people.
4.4 Cancelled tours
Tromsolove reserves the right to cancel planned trips up to 14 days before departure. In the event of such a cancellation, customers will receive a full refund of any amounts paid. Cancellations may occur due to unforeseen circumstances or other conditions that make it necessary to cancel the trip.
5. Tour Conduct and Safety
5.1. Operator
Our buses are operated by the professional bus company Tide AS, which is responsible for safe travel along the roads.
5.2. Customer Responsibility
Customers are required to follow all safety guidelines provided by our tour guides. Failure to do so may result in immediate removal from the tour without a refund.
5.3. Health and Fitness
Customers must be in good health and able to participate in outdoor activities in cold weather conditions. Tromsolove AS is not responsible for any accidents, injuries, or illnesses sustained during the tour unless it is due to gross negligence on our part.
5.4. Clothing and Equipment
Warm clothing and appropriate winter gear are mandatory for the tour. We may provide additional gear, such as thermal suits, but the customer is ultimately responsible for ensuring they are dressed appropriately for cold and icy conditions.
6. Customer Responsibility
6.1. Travel Documents:
Customers are responsible for ensuring they have all necessary travel documents, including passports, visas and any required health documentation (vaccination, certificates, etc). Tromsolove will not be responsible for any issues arising from incomplete or invalid travel documentation.
6.2 Health and Safety
Customers must be in good health and fit to participate in the activities offered by Tromsolove. It is the responsibility of the customers to inform Tromsolove in advance of any medical conditions or special needs that may affect their participation in activities.
6.3 Safety Instructions
Customers must follow all safety instructions provided during activities. Failure to comply these instructions may result in being removed from the activity without a refund. Tromsolove will not be liable for any accidents or injuries resulting from noncompliance with our safety regulations.
7. Insurance
7.1 Mandatory Insurance
Tromsolove strongly recommends that all customers purchase comprehensive travel insurance that covers cancellations, medical emergencies, personal accidents and loss or damage of property.
7.2 Customers Responsibility
It is the customers responsibility to ensure that all individuals covered by the booking have appropriate travel insurance.
8. Photography and Media
8.1 Customer Photography
You are welcome to take personal photographs during the tour. However, drones or other aerial equipment are not permitted without prior consent.
8.2 Company Photography
We may take photos or videos during the tour for promotional purposes. By participating in the tour, you consent to being photographed or filmed, unless you specifically request otherwise before the tour.
9. Complaints and Claims
9.1 Complaint Process
Any complaints regarding Tromsolove´s services must be submitted in writing within 7 days of the event giving rise to complaint. Complaint should include detailed information and any supporting evidence (photos, receipts, etc) to allow Tromsolove to investigate the issue.
9.2 Late Complaints
Complaints made after the 7day period may not be accepted and Tromsolove reserves the right not to investigate late complaints.
10. Changes to Terms & Conditions
Tromsolove AS reserves the right to modify or update these Terms & Conditions at any time. The latest version will always be available on our website, and it is your responsibility to review the Terms & Conditions before booking.
11. Governing Law
These Terms & Conditions are governed by the laws of Norway. Any disputes arising from participation in our tours will be subject to Norwegian legal jurisdiction.
